We hope to make it as easy and efficient as possible for you to inform your students about your Global Works group travel program. Follow these steps to kick off your initiatory meeting. Remember, your energy and enthusiasm is contagious so have fun with it!
- SET AN INTEREST MEETING DATE
-Check your personal and school calendars to identify any conflicts. Find a date and time as soon as possible when interested parent and students are likely to attend.
TIP: If you have a back to school night, or parent teacher conferences, these can be great opportunities to get the word out and advertise an interest meeting. Think about setting your meeting date around such and event if possible.
- RECEIVE A TRIP KIT FROM GLOBAL WORKS
-Confirm with your trip manager that a TRIP KIT is on the way. Trip Kits provide helpful resources like posters, itineraries to hand out, insurance info, and a slideshow to get people excited.
- PUBLICIZE
-Write in your destination and dates on your Global Works POSTER and hang in a high-traffic spot
-Announce your meeting in your school’s daily news, parent teacher conferences, or a back to school night. Email and/or call parents if possible.
-Talk up your trip in all of your classes…and remember to get other faculty excited as well (*two teachers travel free!)
-Hand out information for students to take home. Use our PARENT INTEREST LETTER if you’d like!
-Recruit motivated and excited students and/or parents to help spread the word.
-Write a story for your school newspaper or blog about the trip.
TIP: A general rule of thumb is that you should advertize your trip to 10 times the number of students you hope to attend. So plan to reach 150 students for a group if 15 students!
- HOST A GLOBAL WORKS MEETING
-Have itineraries, APPLICATIONS, a sign n sheet, login information, and a slideshow ready to go when people arrive
-Present the slideshow and refer to your MEETING SCRIPT for details.
-Confirm that the students and parents are clear on enrollment steps and deadlines.
-After the meeting, call or email your Trip Manager with an update and next steps.
TIP: It’s ok if you can’t answer every question. Tell people they are welcome to call Global Works or that you will get their question answered and email a response.
- ENROLL!
-Global Works will set your group up with a personalized LOGIN SITE where access is provided to itineraries, flight information, leader biographies, forms, and more!
-Remind your students and families about pending due dates through classroom and email announcements.
-To enroll on the program Global Works requires a deposit and completed application. Most people use our ONLINE APPLICATION.
After your trip is fully enrolled and confirmed, Global Works will handle all payments, paperwork, and all trip logistics providing you with more precious time!
- Global Works partners with a local travel agent to book group reservations that allow as much flexibility as possible while ensuring competitive pricing. Once we confirm flights, we will notify the group through email and the personalized LOGIN page for your group.
- If your group is fundraising, check out some ideas that have brought success over the years in our fundraising document in the Teacher ToolKit.
- A final itinerary, emergency contact information, and last minute reminders are provided to participants about a month prior to the trip departure.
- Pre-trip meetings and orientations to prepare the group are a great idea. We have ideas and resources to help the students gain as much form the experience as possible. Check out our Teacher Tool Kit for some lessons plans and ideas.
On a Global Works program the travel is just the beginning of the learning experience for our participants. We encourage continued interest in service work, humanitarian efforts, and environmental preservation throughout the lifetimes of a Global Works participant.
- Before returning home the group will participate in guided reflection activities discuss ways to incorporate what they have learned into their lives at home.
- Following the trip your group will have access to our online TRIP JOURNALS which feature trip stories and photographs from the travel experience. These journals serve as a reminder to the group of the value of their efforts and contributions and what they have learned along the way.
- Students also receive a Community Service Certificate crediting them for the impactful service work they accomplished along the way.
