WHAT TRAVEL SERVICES ARE OFFERED WITH THE GROUP FLIGHT?

– Global Works Leaders chaperone the Summer Service Adventure flights (not available for domestic or Puerto Rico programs).
– Global Works Leaders meet students at departure airport on opening day and will not leave the airport on closing day until all students have boarded their connecting flights or have been picked up by a parent/guardian.
– Global Works Leaders care for students who miss the international group flight until they are re-booked on another flight.
– We have access to all flight records.
– We assist in re-booking in the case of delays and/or cancellations.
– We investigate lost luggage.
– We facilitate changing seat assignments and/or meal preferences.

WHAT COVID-19 POLICIES DO I NEED TO KNOW?

Participants must follow all airline and airport COVID-19 safety procedures, rules, and regulations, including wearing a face mask and social distancing. Participants may be subject to additional expenses related to entry requirements to your destination and/or re-entry to your home country. Global Works does not cover these expenses. Additional costs may include, but are not limited to, COVID tests, insurance, or other. See our Covid-19 FAQ’s for more information. HOW MUCH DOES THE INTERNATIONAL GROUP FLIGHT COST? AND, WHERE DOES IT DEPART FROM?

HOW DO I RESERVE THE INTERNATIONAL GROUP FLIGHT WITH GLOBAL WORKS?

After enrolling on a Global Works program, go to our Group Flight Portal to reserve a seat on the group flight and provide your ticketing information. Group flight costs are payable to StudentUniverse. Group flight ticketing ends between late April and the end of May (see Group Flight Portal for ticketing deadlines). Trip participants and their parents receive the e-ticket confirmations via email approximately 2-3 weeks prior to travel.

WHAT IF I NEED TO BOOK A CONNECTING FLIGHT TO THE GROUP FLIGHT DEPARTURE AIRPORT?

For group flights on United Airlines, our partners at StudentUniverse can assist with connecting flight quotes. For all other airlines, you may book connecting flights on your own. We ask for 3+ HOURS of connection time between your domestic flight and the group flight! You will need time to collect/recheck bags on arrival and time to go through customs/ immigration and re-check bags on the return. Take the stress out of the travel days by allowing sufficient connection time!

CAN I BOOK MY OWN FLIGHTS?

We strongly recommend that all students travel on the group flight. If you make travel reservations independently for the international group flight and/or your connecting flight, you must plan to arrive/depart within the travel window indicated on the Group Flight and Travel Day Instructions, found on your Global Works Login Page. Once confirmed, upload all flight information to the Transportation To/From Program form or email your itinerary to info@globalworkstravel.com. Participants who arrive or depart outside of the designated travel window are subject to an Alternative Travel Arrangements Fee of $150 each way. Global Works leaders will facilitate meeting students upon arrival and will communicate the time and place to meet prior to the trip. Parents will be called upon arrival to assure that the participant made it safely!

CAN I ARRIVE OR DEPART EARLY/LATE?

Please contact us at info@globalworkstravel.com or 303-545-2202 and we will let you know if your specific request is possible. Participants who arrive or depart outside of the designated travel window are subject to an Alternative Travel Arrangements Fee of $150 each way. Global Works can assist with logistics and special arrangements, when necessary.

WHAT DOES OPENING TRAVEL DAY LOOK LIKE?

Global Works Trip Leaders or staff will meet participants at the check-in counter (for participants driving to the group departure airport) or departure gate (for participants flying to the group departure airport). All staff and participants will wear Global Works t-shirts on travel days so they are easy to spot! Upon arrival to your destination, Global Works Trip Leaders collect passports, a copy of the passport, extra money for baggage fees in envelope (if applicable) and medication that leaders should administer (if applicable). Students will make phone calls home and the Home Office sends an email letting parents know that the flight has arrived. Most groups post photos and travel day stories on our blog to let you know they are off to a great start!

WILL MY SON/DAUGHTER BE SUPERVISED IN THE AIRPORT IN CASE OF A DELAY OR FLIGHT CANCELLATION?

We have staff members in the airport in order to provide assistance in the case of a delay or flight cancellation. The Group Flight and Airport Chaperone Service is included on your Global Works invoice for all participants who reserve travel on the Global Works Group Flight (Summer Service Adventure programs only). This service costs $99 and covers:

– Reserving flights and providing updates for flight schedule changes.
– Staff chaperoned group flights and airport supervision.
– Assistance at group flight check-in counter at departure airport.
– Assisting in re-booking in case of flight delays and/or cancellations.
– Hotel and travel expenses in case of flight delays and/or cancellations.
– Supervision by a trained Global Works staff member in case of group flight delays and/or cancellations.
– Access to all flight records.
– Investigating lost luggage.
– Choosing seat assignments and/or meal preferences.
– Potential to receive airline credit in case of cancellation of international group flight.

IS IT OK FOR MY FAMILY TO MEET ME AT THE END OF THE TRIP?

Yes! We’ll help you to connect with your parents on the morning of the last day of the trip. Our partners at StudentUniverse can assist you with booking your return flights separate from the group. Contact Crista Cannata at crista.cannata@studentuniverse.com to request a deviation flight quote.

WHAT'S THE DEAL WITH UNACCOMPANIED MINORS (UM)?

Each airline has different Unaccompanied Minor policies. Many require students 14 years old or younger to travel under the airline’s Unaccompanied Minor service. Global Works does not permit Unaccompanied Minors for students on connecting flights to meet the group flight. If your student is 14 years of age or younger and the airline requires an adult to fly with them, a parent/ guardian will need to accompany the student to/ from the group flight hub airport to meet the group. Alternatively, you may choose for your student to fly from your hometown airport to the program destination on a direct flight as an Unaccompanied Minor.

CAN I USE AIR MILES?

Unfortunately, the airlines do not permit using air miles for our pre-reserved international group flights. Some families book the Global Works group flight on their own in order to take advantage of using air miles. You may accrue miles on our international group flights by adding your frequent flier account number to your reservation. After you have your e-ticket confirmation, contact Global Works and we will ensure that your frequent flier number is applied.

DO I NEED A PASSPORT?

Yes, except for Puerto Rico and our domestic programs, all Global Works programs require you to have a passport. Please do not delay in applying for or renewing your passport. Many countries require that your passport is valid up to 6 months after your trip return date. Go to www.travel.state.gov for country-specific passport requirements for U.S. Citizens or visit www.cibtvisas.com/globalworks to apply for, or renew your passport.

DO I NEED A VISA? IF YES, WHERE CAN I OBTAIN ONE?

It is each participant’s responsibility to obtain, if necessary, a visa for entry. For U.S. passport holders, visas are required for the Global Works programs in Nepal, Cambodia and China. If your child is not a U.S. Citizen, it is your responsibility to determine whether a visa is necessary for entry. Non-U.S. citizens must contact the appropriate embassies and consulates to inquire about any visa requirements for all countries to be visited. You may also opt to go through an agency that will provide advice and services. Global Works partners with CIBT Visas who offers student discounts for their services. Input your information into the box at www.cibtvisas.com/globalworks to determine your visa requirements and to obtain the necessary paperwork. Global Works participants receive a discounted price for their services. We suggest that this process be completed two months prior to departure.
